Job Title: Service Controller 
Department: Aftersales / Service 
Reports to: Service Manager 
Location: Derby
Hours: Monday – Friday 08:30-17:30
Salary: £28,000 per annum

Job Purpose 

The Service Controller plays a key role in ensuring the smooth and efficient operation of the service department. This role involves coordinating the workshop, managing vehicle preparation, overseeing parts allocation, and ensuring timely smart repairs. The Service Controller is responsible for optimizing workflow, maximizing efficiency, and delivering excellent customer service. 

"Shape"Key Responsibilities 

Workshop & Service Operations 

  • Act as the main point of contact between service advisors, technicians, and customers. 

  • Schedule and allocate jobs to technicians, ensuring maximum workshop productivity. 

  • Monitor job progress and ensure work is completed within agreed timeframes. 

  • Oversee workshop workflow, minimizing delays and ensuring efficient use of resources. 

  • Ensure all repairs and servicing meet quality standards and preparation guidelines. 

  • Communicate job progress, delays, or additional work requirements to service advisors. 

  • Overseeing a Driver team to support vehicle movements. 

Parts Management 

  • Track parts orders and delivery times to minimize downtime. 

  • Maintain accurate records of parts usage and stock levels. 

  • Ensure correct parts are allocated for each repair, avoiding delays or rework. 

Smart Repair Coordination 

  • Schedule and manage smart repairs, including minor bodywork, paint touch-ups, and alloy wheel refurbishments, dent and windscreen repairs. 

  • Work closely with the smart repair specialists to prioritize work based on deadlines and vehicle sales requirements. 

  • Ensure smart repair standards are met, maintaining vehicle appearance and value. 

Vehicle Preparation & Quality Control 

  • Oversee vehicle preparation, including valeting, servicing, and final inspections. 

  • Ensure all vehicles meet our cinch standards before delivery. 

  • Coordinate with sales and aftersales teams to prioritize vehicle prep based on customer requirements. 

  • Perform quality control checks to guarantee all work is completed to a high standard. 

Customer Service & Communication 

  • Address customer queries and concerns, ensuring a high level of service satisfaction. 

  • Work closely/support the Service Advisors to enhance customer experience. 

Key Skills & Experience 

  • Previous experience in a Service Controller, Workshop Controller, or Aftersales role within the automotive industry. 

  • Strong knowledge of workshop operations, vehicle servicing, smart repairs, and parts management. 

  • Excellent organizational and time-management skills to prioritize multiple tasks. 

  •  Strong communication skills, with the ability to liaise between technicians, service advisors, and customers. 

  •  Ability to work under pressure in a fast-paced environment. 
    Awareness of health & safety regulations in a workshop environment.
